Rental Agreement: Guest Rules & Regulations
1. CHECK-IN TIME is AFTER 4 p.m. and CHECK-OUT TIME is 10 a.m local time. We do not grant early check-ins. Guests are not allowed to arrive at the property prior to 4 pm as our staff will be busy preparing for your stay. Check in and check out times are strictly enforced. This agreement does not create a tenancy or residence. Guests are expected to depart at the appropriate time.
2. MAXIMUM OCCUPANCY: Note that the maximum occupancy allowed is noted at the top of this document. Please do not exceed the maximum occupancy. You will be charged $25 per day per person if you exceed the maximum occupancy (children 5 and under do not count towards the maximum occupancy).
3. SUPPLIES: Upon arrival, the property will have several days supply of toilet paper, paper towels, dishwashing liquid, dishwasher soap, laundry detergent (if applicable), bar soap, shampoo and liquid hand soap in the kitchen. If you are missing supplies upon arrival, please contact us. If you run out during your stay, please purchase more as required.
4. CLEANING FEE: A departure cleaning fee has been charged. However, if the property is left exceptionally dirty/trashed and additional cleaning time is required beyond the norm, youwill be charged for the additional time. Please ensure that all dishes are put in the dishwasher and start the dishwasher the morning you depart. In addition, please start a load of towels the morning you depart.
5. NO SMOKING: This is a non-smoking property (marijuana or tobacco).
6. PETS: Pets are not permitted, unless the home is pet friendly, and the $40/day pet fee (Max $250) has been paid. Please note the maximum number of pets is two (2). Pets are not allowed on furniture and are required to be properly crated when the guest is not on the premises. Guests are responsible for cleaning up after their pets outside of the home. If pet waste is left guest will incur additional costs associated with the cleanup. In properties where pets are not allowed. You may be subject to a fine of $500.00 if you bring a pet and may be asked to leave.
I understand that if I do not adhere to the no smoking/no pets policy, then I am financially responsible for any damage incurred to the property due to this negligence, including but not limited to the professional cleaning of all the floors, carpets and upholstery.
7. MINIMUM AGE: We will not rent to anyone under 25 years of age unless accompanied by an adult guardian or parent.
8. EVENTS: Events such as weddings, reunions, rehearsal dinners or any type of gathering of
more than 150% of the properties sleeping occupancy are not allowed without prior written authorization from Vacation Rental Collective.
9. Friendly Neighbor & Quite Hours: All of our properties are located in a neighborhoods or multi-family complexes with full time residents. Please respect their privacy and quiet time. Abide by all rules for any community areas such as patios, pool and hot tub. Please abide by all neighborhood rules and speed limits on county and private roads.
10. WEAPONS: To ensure the safety of all of our guests, guns are forbidden on the property at all times, even if the guests has a concealed-carry permit.
11. CANCELATIONS: A payment of $300 is required at the time of booking. This $300 payment is applied toward the total amount due and is only refundable within 72 hours of the time of the booking is made. If your arrival date is within 30 days of booking, payment in full is required at the time of booking. Cancellations or changes that result in a shortened stay, that are made within thirty (30) days of the arrival date, forfeit the entire reservation amount while cancellations made more than thirty (30) days in advance of your arrival only forfeit the $300 payment made at the time of booking. For reservations that are at least thirty (30) nights, the cancellation policy above increases to sixty (60) day prior to the arrival date. We do offer travel insurance.
12. TRAVEL INSURANCE: Vacation Rental Insurance has been made available with your reservation. Vacation Rental Insurance provides coverage for prepaid, nonrefundable expenses due to certain unforeseeable circumstances that may jeopardize your vacation investment and force you to incur unplanned expenses. We strongly recommend you purchase this valuable protection. Separate terms and conditions apply, read your Description of Coverage/Policy carefully and contact CSA at (866) 999-4018 with coverage questions. We strictly adhere to our Cancellation Policy as stated above and strongly suggest you consider purchasing travel insurance. We know that no one ever plans to NOT come. Unexpected events occur all the time. We hate saying, “Sorry, we cannot refund your money” when a guest must cancel unexpectedly, and they did not purchase travel insurance. Be sure you’re covered.
13. SUBSTITUTION: In the event that the property reserved becomes unavailable for any reason, Vacation Rental Collective will make all reasonable efforts to accommodate Guest in a comparable or superior property. If no alternative property is available that is suitable for your needs, Vacation Rental Collective will refund all payments and deposits in full and no further obligation expected of either party.
14. DAMAGE WAIVER FEE: Covers unintentional damages to the rental unit that occur during your stay up to a maximum of $2,000. Any damages that exceed $2,000 will be charged to the credit card on file.
15. FALSIFIED RESERVATIONS: Any reservation obtained under false pretenses will be subject to forfeiture of advance payment, deposit, and/or rental money, and the party will not
be permitted to check-in.
16. INCLEMENT WEATHER POLICY: Though we wish you a wonderful stay with wonderful weather, it cannot be guaranteed. No refunds will be given in the event of inclement weather, lack of snow or poor skiing conditions.
17. RELEASE AND INDEMNIFICATION. Guest hereby waives and releases Owner and Company, to the extent permitted by law, and covenants not to sue, for any claims related to Guest or its invitees use of the Property, and expressly including Guest’s use of any amenities or Owner provided recreational equipment (bikes/kayaks/paddleboards, etc.). Guest shall indemnify, defend, and hold Owner and Company, Company officers, directors, employees, and agents harmless from and against any and all claims, liabilities, damages, and losses arising out of any injury to or death of any person including Guest, and any damage, loss, or destruction of any property occurring in, on, about, or to the unit/home, from any cause whatsoever, or from or against all other acts by Company pursuant to the execution of its responsibilities under this Agreement, unless any such injury or damage is caused by the gross negligence or willful misconduct of Owner, Company or Company agents, representatives or employees.
18. MAINTENANCE AND ACCESS: Vacation Rental Collective (VRC) (or its designated agent) has the right to enter the Home at any time during the guest stay and we will diligently attempt to address maintenance issues as they occur. This is an associated risk of renting a single family residence or condo. If a maintenance issue occurs that cannot be fixed in a reasonable amount of time or if the Home is unavailable for any reason as determined in our discretion, and significantly affects your stay; we reserve the right to refund at our discretion or offer to relocate you to another home.
19. DAILY MAID SERVICE: There is no daily maid service. We can provide daily maid service for an additional fee.
20. DISPOSAL: Please do not put potato, carrot, onion peels etc. in the disposal.
21. WRITTEN EXCEPTIONS: Any exceptions to the above mentioned policies must be approved in writing in advance.
22. COVID 19 WAIVER AND RELEASE: Renter/Guest is aware of the Coronavirus/Covid 19 pandemic, its risks and recommended safety guidelines, and desires for Vacation Rental Collective (VRC) to book the home for the Renter/Guest’s use. Renter/Guest is staying at the property entirely at its own risk. Renter/Guest acknowledges that Vacation Rental Collective
(VRC) has not and is not able to independently inspect or test the properties for the presence of Covid 19 and is unable to otherwise verify that any property is free from the Covid 19 virus. Renter/Guest hereby waives any and all claims against, covenants not to sue, and releases Vacation Rental Collective (VRC), Vacation Rental Collective (VRC)'s agents, or the Owner of and from any and all liability related to Covid 19.
